You can access Scheduling Assistant by editing any calendar event and selecting the "Scheduling Assistant" button in the attendees section.

Large meetings present scheduling challenges because considering multiple calendars results in fewer mutual availability windows. The Scheduling Assistant feature streamlines this process for large internal meetings, particularly those involving multiple executives.

Key features

Horizontal calendar view

Scheduling Assistant displays everyone's schedules horizontally rather than vertically, providing greater visual space to examine multiple schedules side-by-side.

Important vs non-important meetings

Internal meetings with two or fewer attendees appear in lighter blue shading. These typically represent one-on-one meetings or personal calendar blocks.

This distinction helps Executive Assistants identify meetings that could potentially be rescheduled to accommodate critical gatherings.

Critical attendee marking

Users can designate essential attendees by clicking the star next to their names. This feature ensures the system displays "Mutual availability" only for these critical attendees, enabling prioritization of their schedules over others.
